Admin for tradesmen: 7 ways to stop doing paperwork at 9pm

You finish on the tools at 5, get home at 6, and the quotes, invoices and receipts are still waiting at 9.

Most admin for tradesmen can be cut down. The trick is to do each bit once, at the moment it happens, instead of saving it all for the evening.

Talk instead of typing. Price from a template. Invoice the day you finish. Let software do the chasing and the reminders.

In short

  • Capture the job by voice on the spot, so you're not rebuilding the day from memory at night.
  • Price from a quote template with your own rates, so every quote starts half done.
  • Invoice the day the job finishes, and put chasing on a schedule.
  • Photograph every receipt when you pay, into an app linked to your accounts.
  • Keep every tax deadline on one list. Making Tax Digital for Income Tax now means quarterly updates for many sole traders.

What counts as admin for tradesmen?

Admin for tradesmen is all the work that keeps the business running but isn't the job itself. It's the quotes, invoices, receipts, chasing, bookings, certificates and tax.

It usually falls into 5 piles:

Pile What's in it
Winning work Replying to enquiries, site visits, pricing up, writing quotes
Getting paid Invoices, deposits, stage payments, chasing late payers
Keeping the books Receipts, supplier bills, matching the bank, job costs
Tax CIS (the scheme where contractors take tax off subbies' pay), VAT, Self Assessment, Making Tax Digital
Paperwork for the job RAMS (the safety paperwork for a job), certificates, photos, drawings

None of it pays on the day. All of it costs you money when it's late.

How can tradespeople reduce evening admin after working on the tools?

Tradespeople reduce evening admin by doing each task once, when it happens, with a tool that does the typing. The 7 ways below each take one pile off your evening.

1. Talk, don't type

Tool that helps: dictation or voice notes. Your phone can turn speech into text already. Our guide to voice to text apps for tradesmen covers the free ones.

Say the job out loud while you're still stood in the customer's kitchen. Measurements, materials, access, the extras they asked for. The detail survives because you said it on the spot.

Nexley turns a voice note into a priced quote the same day.

2. Price from a quote template

Tool that helps: a quote template with your rate card. A rate card is your list of prices for labour, materials and the small stuff.

Build one template with your usual lines already in: labour, materials, skips, parking, making good (the patching up after the main work), and your terms. Then each quote starts half done.

If you're not sure your rates are right, see how to price a job without missing costs.

3. Give admin one set slot

Tool that helps: a repeating reminder in your phone's calendar. Pick one short slot a day, at the same time, and keep it.

For example, 20 minutes in the van after lunch. Admin that has a slot gets done in the slot. Admin that doesn't have one waits until 9pm.

Batch the same jobs together: all the quotes, then all the invoices. Switching between them is what eats the time.

4. Invoice the day you finish

Tool that helps: invoicing software on your phone. Send the invoice before you leave the job, or that evening at the latest.

A job finished on Thursday and invoiced three weeks later is three weeks of your money in someone else's account. Build the invoice from the quote, plus any extras (work added on top of the quote) you agreed in writing.

Nexley drafts the invoice the day the job finishes.

5. Put chasing on a schedule

Tool that helps: automatic invoice reminders in your accounts software. Set them once, and the reminders go out whether or not you remember.

A simple rhythm works: a friendly note when the bill is due, a firmer one a week later, a final one after that. Do the same with quotes that have gone quiet.

If a business customer pays late, you may be able to claim interest. See how late payment interest is worked out.

Nexley chases quiet quotes and unpaid invoices on a schedule.

6. Photograph receipts when you pay

Tool that helps: a receipt app linked to your accounts. Snap the receipt at the merchant's counter, before it fades in the van footwell.

HMRC says you must keep your records for at least 5 years after the 31 January deadline for that tax year. A photo filed against the job is far easier to find than a carrier bag.

Send Nexley a receipt photo on WhatsApp and it codes it to the right job, linked to Xero or QuickBooks.

7. Keep every deadline on one list

Tool that helps: accounts software with deadline reminders, or one shared calendar. Put every tax date on it, with a reminder a week before.

If you pay subbies, the CIS monthly return must reach HMRC by the 19th of the month after each tax month. Self Assessment, VAT and Making Tax Digital dates go on the same list.

Nexley prepares CIS and VAT as you go, for you or your accountant to check.

What does Making Tax Digital for Income Tax mean for your admin?

Making Tax Digital for Income Tax means keeping your business records in software and sending HMRC an update every 3 months. It applies to sole traders and landlords registered for Self Assessment whose qualifying income is over the threshold.

Qualifying income is your total income from self-employment and property, before expenses. In other words, your turnover, not your profit. Wages from a PAYE job don't count.

Here's when it starts, as gov.uk states it in October 2026:

Qualifying income over In the tax year You need to use it from
50,000 pounds 2024 to 2025 6 April 2026
30,000 pounds 2025 to 2026 6 April 2027
20,000 pounds 2026 to 2027 6 April 2028

So a sparky who turned over 52,000 pounds in 2024 to 2025 should already be using it. One who turned over 35,000 pounds in 2025 to 2026 starts in April 2027.

Once you're in, you need to do 3 things:

  1. Create and store digital records of your business income and expenses in compatible software.
  2. Send a quarterly update every 3 months. It's a summary of totals, not a tax return.
  3. Still send a tax return by 31 January after the tax year ends, through compatible software.

Using the standard update periods, the deadlines are:

Update covers Send it by
6 April to 5 July 7 August
6 April to 5 October 7 November
6 April to 5 January 7 February
6 April to 5 April 7 May

HMRC doesn't get your individual receipts or invoices in an update, just the totals. But you still keep the receipts.

This is where ways 6 and 7 pay off. If receipts go into software as you spend, the quarterly update is mostly a check. If they sit in a bag, it's a long night every 3 months.

Check whether and when you need it with HMRC's guide to who needs Making Tax Digital for Income Tax. Then use HMRC's list of software that works with Making Tax Digital for Income Tax to check yours. Some products are free for simple tax affairs, with limits.

What does a 20-minute admin slot look like?

A 20-minute admin slot works through the same short list every day, in the same order. Here's a simple one, as a worked example.

Step Time Done?
Reply to new enquiries and book site visits 5 minutes
Turn today's voice notes into quotes, and send them 5 minutes
Send invoices for jobs finished today 3 minutes
Check reminders went out for overdue invoices and quiet quotes 3 minutes
Photograph any receipts still in your pocket 2 minutes
Look at the deadline list for the next 7 days 2 minutes

In this worked example, a plumber finishes a bathroom on Wednesday. The invoice goes out in Wednesday's slot. The reminder goes out by itself the following week. The merchant receipt was photographed at the counter on Monday.

Nothing about that job is left for the weekend.

Where Nexley fits

Nexley is the AI back office for UK trade firms. Five AI assistants do the office work overnight, and you approve each one from WhatsApp.

You send Nexley a voice note, a photo of a receipt or a few lines about the job. It drafts the quote, invoice or document, priced on your own rate card, and sends it back for you to check. Nothing goes to a customer until you approve it.

It also chases quiet quotes and unpaid invoices, codes receipts to jobs, and prepares CIS and VAT as you go. Your accountant still checks and signs off. See how back office software for tradesmen works, or try it free for 7 days.

Common questions

What is a virtual assistant for tradesmen?

A virtual assistant for tradesmen is a person or service that does your admin remotely. That might be answering calls, booking jobs, sending invoices or chasing payments.

Some are people you pay by the hour. Others are software that does the typing and chasing for you. Either way, you still decide the prices and approve what goes out in your name.

Do I need Making Tax Digital if my turnover is under 20,000 pounds?

Not under the dates gov.uk lists as of October 2026. Its thresholds go down to qualifying income over 20,000 pounds, from 6 April 2028.

You still send a Self Assessment tax return as normal. HMRC checks your return each year and writes to you if you go over a threshold. If no letter comes, it's still your job to check.

Can I keep using a spreadsheet for Making Tax Digital?

Yes, if you pair it with software that connects to it. HMRC calls this bridging software: it links to your spreadsheet records and sends the quarterly updates and tax return.

The records must be linked digitally. HMRC says you must not copy and paste or retype records between products once they've been sent in an update.

How long should a tradesperson keep receipts?

Keep business records for at least 5 years after the 31 January deadline for that tax year. For a 2025 to 2026 return sent online by 31 January 2027, that means until at least the end of January 2032.

If you're a CIS contractor, HMRC also asks you to keep CIS records for at least 3 years after the end of the tax year they relate to.

Does Making Tax Digital for Income Tax apply to partnerships?

Not yet. Gov.uk says partnerships will also need to use it in the future, and HMRC will set out the timeline later.

For now, it covers sole traders and landlords registered for Self Assessment. Limited companies have their own rules for keeping records.
