Do you still need a bookkeeper? What AI can and can't do in Xero
For most small trade firms, AI can now do the data entry a bookkeeper used to: reading bills and receipts, suggesting bank matches and coding routine transactions in Xero. You still need a person, you or an accountant, to check the coding, handle VAT and CIS, sort out anything unusual and sign off the returns. Many firms swap a weekly bookkeeper for AI plus a quarterly accountant review.
What can AI do in Xero today?
It can do most of the typing. As of October 2026, Xero's own tools read bills and receipts and create draft bills ready for approval, and on Grow, Comprehensive and Ultimate plans its AI, JAX, reconciles bank transactions automatically when it is highly confident of the match. When it isn't sure, it suggests a match and leaves the line for you to confirm. Xero says its AI tools let you review the output and see the reasoning behind each match.
Outside Xero, assistants can take receipts from WhatsApp, read merchant invoices from your inbox, code each line to a job and post drafts into Xero. The common thread is that AI drafts and a person approves.
What still needs a person?
Anything that needs judgement or carries legal responsibility. AI is good at "this £84 at a merchant is materials". It is weaker at "this payment is half a director's loan and half a deposit refund", and it doesn't sign your VAT return.
| Task | AI can do it | A person should own it |
|---|---|---|
| Capture bills and receipts | Yes: reads supplier, date, amount, VAT | Chase missing ones |
| Code routine purchases | Yes, from past patterns | Check new suppliers and odd items |
| Match bank lines | Yes, auto when confident | Confirm suggested matches |
| Code to jobs | Yes, if job codes are on orders | Resolve anything unreferenced |
| VAT treatment, incl. domestic reverse charge | Can flag | Decide and file the return |
| CIS deductions and monthly returns | Can calculate | Verify subbies, file by the deadline |
| Payroll | No | You, your bookkeeper or payroll provider |
| Year-end accounts and tax | No | Your accountant |
CIS is a good example. Contractors must give subcontractors a payment and deduction statement within 14 days of the end of each tax month, and pay HMRC by the 22nd if paying electronically. Software can do the sums. Somebody has to make sure they're filed on time.
Will AI make the same mistakes as a bad bookkeeper?
It can make different ones, and the fix is the same: someone checks. A person keying entries by hand can get a whole profit and loss wrong if nobody reviews it. A property developer we spoke to, a long-time paid ChatGPT user, said the same of AI: "We've noticed hallucinations."
Neither is a reason to give up on help. They are reasons to check the output every month, starting with the bank reconciliation and the P&L. See how to check your P&L for errors.
Do you still need a bookkeeper? A quick check
It depends on your volume, your VAT and CIS, and whether someone in the business will do a weekly review.
Let AI capture and code, review weekly, and have your accountant check the books each quarter and at year end.
You need someone with time and responsibility for the books each week. AI can still cut their hours, and their bill.
What does it cost either way?
The real cost is usually your time, not the bookkeeper's fee. An electrician in East Anglia we work with, an owner and two apprentices, dropped a £75 a month bookkeeper once supplier invoices went into Xero automatically with price-rise checks. A metal fabrication firm, eight staff, was weighing an assistant against paying its accountant more after its office manager left. "It's a lot of money, isn't it?" was the owner's first reaction.
The bigger number is owner hours. Here's the renovation builder we work with, four to five staff, who went from about two days a week on admin to about 30 minutes a day.
Owner admin time before and after, renovation builder
| Admin beforeabout 2 days a week × 8 hours | 16 hrs a week |
| Admin afterabout 30 min a day × 5 days | 2.5 hrs a week |
| Hours saved each week16 − 2.5 | 13.5 hrs |
| Over a working year13.5 × 46 weeks | 621 hrs |
Put a value on your own hour and the sum is clear. Use your charge-out rate, not your take-home.
Your numbers, not a promise. Change any figure to match your firm.

What should your accountant still do?
Keep them. AI can keep the books current; your accountant makes sure they're right and files what the law needs. That includes year-end accounts, corporation tax or Self Assessment, advice on VAT schemes and the domestic reverse charge, and Making Tax Digital. From 6 April 2026, sole traders and landlords with qualifying income over £50,000 must use MTD for Income Tax, so clean digital records matter more than before.
Give your accountant read access to Xero and ask for a quarterly check of the bank reconciliation, VAT coding and CIS. It costs less than a weekly bookkeeper and catches the errors that matter. See giving your accountant access to Xero.
Where Nexley fits
Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.
Nexley does the weekly data entry: reads supplier bills and WhatsApp receipts, codes each to the job, posts drafts to Xero, matches payments and chases unpaid invoices. You approve on WhatsApp, and anything it isn't sure of comes to you as a question. Your accountant still does the year end and the returns.
Common questions
Can AI do my bookkeeping completely?
Not on its own. It can capture, code and match most routine transactions, but a person needs to check its work, handle VAT, CIS and payroll, and take responsibility for the returns.
Is Xero's JAX free?
As of October 2026, Xero says there's no extra charge for JAX chat, and automatic bank reconciliation is included on Grow, Comprehensive and Ultimate. Xero reserves the right to change this, so check its pricing page.
Should I sack my bookkeeper?
Not before you've run AI alongside them for a month and checked the results. Many firms keep the bookkeeper for fewer hours, focused on checking and payroll, rather than data entry.
Does my accountant need to approve AI tools?
It isn't a legal requirement, but tell them. They'll want to know how entries are created so they can check them, and they may already work with a capture tool you can share.
