AI for tradesmen: 12 jobs it can take off you this week
AI can take most of the writing and repetitive admin off a small trade firm: drafting quotes and emails, writing RAMS, chasing invoices, logging receipts, answering enquiries and keeping site notes. A paid AI chat tool plan, around 20 US dollars a month, covers the writing. The jobs that need your prices, inbox or Xero need a connected tool. Either way, you check before anything goes out.
Which jobs can AI take off you?
Twelve, split by what each needs. "AI chat tool" means ChatGPT, Claude or Copilot on their own. "Connected" means a tool linked to your inbox, price list or Xero that can act on a schedule.
| # | Job | Tool it needs | What you still check |
|---|---|---|---|
| 1 | Reply to enquiries and messages | AI chat tool to draft; connected to reply fast | Tone, and that you can do the date |
| 2 | Turn a voice note into a quote | Connected, with your rates | Every price and quantity |
| 3 | Write scope, exclusions and terms | AI chat tool | That it matches what you'll do |
| 4 | Lay out options without a scary total | AI chat tool | Each option has its own total |
| 5 | Chase quotes at 7 and 30 days | Connected | That the job's still wanted |
| 6 | Chase unpaid invoices | Connected; AI chat tool for the wording | Amount, dates and any dispute |
| 7 | Get receipts and supplier bills into Xero | Connected | Job, VAT and CIS coding |
| 8 | Check supplier price rises | Connected | Whether to pass the rise on |
| 9 | Draft RAMS and a construction phase plan | AI chat tool or connected | Every hazard on this site |
| 10 | Record a variation agreed on site | AI chat tool or connected | Price and client's written OK |
| 11 | Read a tender pack and list the requirements | AI chat tool or connected | Deadlines and pass/fail criteria |
| 12 | Service and certificate reminders | Connected | Who's due and the right interval |
The first four save the most time for the least risk, because you read the output before it goes anywhere.
Where do you start if you've never used it?
With one writing job you hate. Pick the email you put off, paste in the facts, and ask for a short, polite draft in plain British English. Then do the same for your next quote's scope and exclusions. After a week you'll know whether it fits how you work.
For example, a firm getting up to 20 enquiries a day on WhatsApp could draft its replies from voice notes between jobs, instead of saving them all for the evening.
Can AI price your jobs?
Only from your numbers. An AI chat tool will give you a confident price for any job, but it doesn't know your labour cost, overheads or merchant prices, so the figure is a guess. Use it to list items and lay out the quote, and take prices from your rate card. We explain why in why ChatGPT gets your quotes wrong.
Connected tools that hold your rates are where the time saving shows. For example, a firm with 20 air con quotes to price over a weekend, at 4–5 hours each by hand, gets most of that weekend back if each quote is drafted from its own price list and only needs checking.
Can AI chase money and do the bookkeeping?
The chasing, yes; the judgement, no. Chasing needs something that notices an invoice is overdue without being asked, which an AI chat tool can't do. For wording and timing, see how to chase an unpaid invoice.
Bookkeeping is where connected tools earn their keep. For example, once supplier invoices go into Xero automatically with price-rise checks, a small firm paying a bookkeeper £75 a month for data entry may find it no longer needs to. Your accountant still signs off the year end, and you still check VAT and CIS coding.
What does your admin cost you now?
Work it out before you pay for any tool. Count the hours you spend on quotes, invoices, chasing, receipts and paperwork in an ordinary week, including evenings.
A sole trader's admin hours, priced
One sole trader we spoke to put his admin at up to 10 hours a week. Value his time at what he'd earn on the tools.
| Admin hours a weekhis own estimate | 10 |
| Weeks worked a yearafter holidays | 46 |
| Hours a year10 × 46 | 460 |
| Value of an hour on the toolsillustrative day rate £280 ÷ 8 | £35 |
| Cost of admin a year460 × £35 | £16,100 |
Your numbers, not a promise. Change any figure to match your firm.
One renovation builder, four or five staff, cut his admin from about two days a week to about 30 minutes a day, mostly on his phone. That's one firm's result, not a promise, but it shows what's possible when the admin is done for you rather than by you with an AI chat tool open.
What shouldn't you hand to AI?
Anything you can't check, and anything that commits you without you seeing it. That means final prices you haven't read, legal letters you don't understand, safety decisions on a site the tool hasn't seen, and payments.
A builder on an extended trial with us had a quote marked as accepted by mistake and said: "I need it to do it when I tell it." Choose tools that ask before they act. For RAMS specifically, HSE expects a plan that fits the site, so see can AI write RAMS before relying on a draft.
Is it safe to give AI your customer data?
It can be, with the right plan and paperwork. OpenAI says Free, Plus and Pro conversations may be used to train its models unless you switch off "Improve the model for everyone", while ChatGPT Business data isn't used for training by default. Under UK GDPR you need a processor contract with any supplier handling customer data. The full checklist is in is it safe to give AI your email, Xero and customer data.
Where Nexley fits
Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.
Nexley takes on the connected jobs on this list: quotes from voice notes using your price list, supplier bills against the right job, quote and invoice chasers, reminders, RAMS drafts and enquiry replies, all over WhatsApp. It drafts and you approve before anything goes to a client, a supplier or your accounts. For the writing-only jobs, an AI chat tool you already pay for will do.
Common questions
What's the best AI for tradesmen?
For writing, any of ChatGPT, Claude or Copilot on a paid plan. For pricing, bookkeeping and chasing, a tool connected to your own data. Try them on a real week of your admin, not a demo.
How much does AI cost for a trade business?
ChatGPT Plus is listed at 20 US dollars a month and ChatGPT Business at 25 US dollars a seat a month billed monthly, as of October 2026. Connected trade tools cost more; check each vendor's pricing page.
Will AI replace tradespeople?
Not the work on site. It replaces office time: the evenings spent on quotes, invoices and paperwork. Firms we speak to use it to stop the owner doing admin at midnight.
Do my customers mind AI writing to them?
They mind slow replies and wrong details more. Keep your own voice, check every message before it goes, and say in your privacy notice which suppliers process their data.
