ChatGPT or trade-specific AI? What each is good at for a building firm

Use ChatGPT, Claude or Copilot for writing and thinking: emails, method statement drafts, explaining a regulation, rewording a complaint reply. Use a trade-specific tool when the job needs your own prices, your Xero, your inbox and follow-ups that happen without you. A paid AI chat tool plan is listed at about 20 US dollars a month per person; anything connected to your business costs more.

What is ChatGPT good at for a building firm?

Language work. A general AI chat tool drafts a polite chase for an overdue invoice, turns rough notes into a method statement outline, explains what a payment notice is, and rewrites a snotty email to a client into a calm one. It does this in seconds, for any trade, at any hour.

That's why so many of the firms we speak to already use one. Of the 28 firms on our sales calls, at least 14 already used ChatGPT, Claude or Copilot daily. A North East builder and roofer, five staff, told us: "I use ChatGPT for everything." A carpentry firm in Cambridge said: "I've started using ChatGPT to price jobs."

The AI chat tools have moved on, too. ChatGPT can search the web and pull in current, cited sources, and paid plans read files and photos you upload. For a sole trader who wants help with the writing, a 20-US-dollar-a-month plan is good value.

Where does a general AI chat tool fall short?

Three places: it doesn't know your numbers, it isn't connected to your systems, and it only works while you're typing to it.

Your numbers. ChatGPT has never seen your rate card, your overheads per man-day or what your merchant charged you last week. Ask it to price a re-roof and it will give you a confident figure built from general knowledge. OpenAI's own help pages say ChatGPT can produce incorrect facts and fabricated sources, and should be treated as a "first draft, not a final source". We cover why in why ChatGPT gets your quotes wrong.

Your systems. A property developer with two directors and four or five live sites had used paid ChatGPT for 18 months. "We've noticed hallucinations," one told us, and "I'm taking screenshots all the time and posting it." Every bit of context has to be carried in by hand.

Acting on its own. An AI chat tool won't notice that a quote has gone unanswered for seven days, that a supplier bill arrived in the inbox, or that a gas safety record is due. Someone has to ask.

Side by side: which tool for which job?

TaskGeneral AI chat toolConnected trade tool
Draft a reply to an awkward client emailGoodGood, and files it to the job
Explain a regulation or a contract clauseGood, if you check the sourceGood, if you check the source
First draft of a RAMS or method statementGood outline; you make it site-specificCan pull in site details you've given it
Price a job from your rate cardOnly if you paste the rates in each timeUses your stored rates and merchant prices
Supplier bills into Xero against the right jobNoYes, if connected to email and Xero

Keep a record of what was agreed on siteOnly inside that chatSaved against the job

The honest read: if most of your pain is writing, an AI chat tool covers it. If most of your pain is the admin between jobs, the gap is connection and follow-through, which is what trade tools charge for. What does each cost a five-person firm?

Prices as of October 2026, from each vendor's own pricing page. US prices are shown in dollars because that's how the vendors list them.

Worked example

Monthly AI cost for a five-person trade firm, three office users

Owner, office manager and estimator need it; the two on the tools don't.

ChatGPT Plus, 3 users20 US dollars × 3, billed monthly60 US dollars
ChatGPT Business, 3 seats25 US dollars × 3, billed monthly75 US dollars
Claude Team Standard, 3 seats25 US dollars × 3, billed monthly75 US dollars
Microsoft 365 Copilot Business add-on, 3 users£19.32 × 3, billed monthly, excl. VAT£57.96
Nexley, whole firmflat monthly price, no contract£799
Copilot Business needs an existing Microsoft 365 Business plan. ChatGPT Business needs at least two seats. Check each vendor's page before you buy; prices change and may vary by country.

The gap is large, so the question isn't which is cheaper. It's whether the connected tool takes enough hours off you to pay for itself. One renovation builder with four or five staff told us his admin dropped from about two days a week to about 30 minutes a day once supplier bills, job costs and quotes were handled for him. Your hours and your hourly rate decide whether the sum works for you. Admin for tradesmen has ways to cut those hours whichever tool you pick.

Which do you need? A quick check

Quick check: General AI chat tool or connected trade tool?
Is most of your admin writing: emails, letters, documents?
Do you have someone in the office who follows up quotes and invoices?
Do you lose time entering supplier bills, chasing quotes or re-keying prices?
Would you pay more than £500 a month to get those hours back?
Start with a general AI chat tool

A paid ChatGPT, Claude or Copilot plan covers writing and research. Turn off model training on your content and keep customer details out of it.

Look at a connected trade tool

You need something linked to your inbox, Xero and price list that acts on a schedule. Test it on real jobs during a trial.

Use an AI chat tool and tidy your systems

Use an AI chat tool for writing and set up bank feeds, receipt capture and quote reminders in the software you already pay for.

What should you check before trusting either?

The same three things, whoever makes it. Where your data goes and whether it trains the model. Whether the tool shows you what it's about to send before it sends it. And whether you can get your data out if you leave.

On training: OpenAI says it may use content from Free, Plus and Pro accounts to train its models unless you turn off "Improve the model for everyone" in Data controls, and doesn't train on ChatGPT Business data by default. Anthropic says Claude Team and Enterprise content isn't used for training by default, while Free, Pro and Max users choose in their privacy settings. Microsoft says Copilot prompts and responses aren't used to train the underlying models. Is it safe to give AI your email and Xero? has the full checklist.

Where Nexley fits

Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.

Nexley is the connected option: it works from your price list, your accounts and your inbox, drafts quotes, files supplier bills against jobs and chases at the intervals you set, all through WhatsApp. Nothing goes to a client or into your accounts until you approve it. It costs £799 a month with a 7-day free trial and no contract, so it suits firms whose admin load is heavy enough to justify that; a sole trader mainly writing emails will do fine with a paid AI chat tool plan.

Common questions

Is ChatGPT good enough for a small trade business?

For writing, explaining and first drafts, yes. For pricing from your own rates, filing bills and following up, it needs you to feed it every time and to act on what it says.

Can I connect ChatGPT to Xero?

Not in the way an accounting add-on connects. You can upload exports and ask questions about them. Check the current list of ChatGPT apps and Xero's own app marketplace before assuming a live link exists.

Is Claude or Copilot better than ChatGPT for trades?

They're closer to each other than to a connected trade tool. Copilot suits firms already living in Outlook and Excel; Claude and ChatGPT suit people who want a general assistant. Try the free tiers on your own tasks.

Will a trade-specific AI replace my office manager?

It can take on a lot of repetitive admin, but someone still has to approve, decide and deal with people. Firms we speak to use it to stop the owner doing admin at night, not to remove judgement from the office.
