AI phone answering and voicemail for trades: does it work?
AI phone answering works for trades when its job is narrow: answer every call, take the name, address, job and urgency, and send you a summary to call back. It works badly when callers want a price, a diagnosis or a real person in an emergency. Treat it as a better voicemail, not a receptionist who knows the business.
What does an AI phone answering service do?
It answers your business number when you don't, talks to the caller in a natural voice, asks the questions you've set, and sends you a summary by text, email or WhatsApp. Better ones can book a callback slot or send a link for photos.
They sit between a plain voicemail and a human answering service. Voicemail captures whoever bothers to leave a message. A human answering service handles awkward calls but costs more per call and still doesn't know your prices. An AI service answers every call, the same way, at any hour.
Lead platforms are moving the same way: Checkatrade lists product terms for an "AI Receptionist" among its member terms. Check any provider's own pricing and terms before you sign.
Why do trades miss so many calls?
Because the person who answers the phone is also the person up the ladder. About 8 of the 28 firms we spoke to this year raised missed enquiries across phone, WhatsApp, email and social media DMs.
The phone never stops.
That firm had office staff and was also paying for enquiries: a lead partner taking 50%, plus thousands on Google Ads and Checkatrade. When you pay for each enquiry, every unanswered call is a lead you've bought and thrown away.
What is a missed call worth?
Work it out from what you pay for enquiries. If a missed call is worth more than the cost of answering it, answering is worth paying for.
Missed calls for a boiler and air con installer paying for leads
A London installer pays £1,200 to £1,800 a month for about 60 leads.
| Cost per lead, low end£1,200 ÷ 60 | £20 |
| Cost per lead, high end£1,800 ÷ 60 | £30 |
| Missed leads a month (assumed)1 in 10 of 60 | 6 |
| Lead spend wasted a month6 × £20 to £30 | £120 to £180 |
| Lead spend wasted a year£120 to £180 × 12 | £1,440 to £2,160 |
That's only the lead cost. The bigger loss is the job behind it. If you win one job in four, six missed leads a month is about one and a half lost jobs. See how fast you should reply to an enquiry for why the first firm to answer usually wins.
What should an AI answering service ask?
The same five things you'd ask, in the same order, and nothing it can't answer. Keep the script short and give it a clear way out to a human for emergencies.
Greeting: "Hi, you've reached business name. I'm the automated assistant, your name's on a job. I can take your details and get you a call back today. Is that OK?" Ask, in this order: 1. Your name and the best number to call you on. 2. The address or postcode of the job. 3. What's the problem or what work do you need? (Let them describe it.) 4. Is it an emergency? For example: no heating or hot water, a leak you can't stop, or no power. 5. When's a good time to call you back? Rules: If they can smell gas, tell them to call the National Gas Emergency Service on 0800 111 999 (0800 002 001 in Northern Ireland) straight away, then end the call politely. If it's an emergency we cover, say "I'll pass this to your name straight away" and send it marked URGENT. Never give a price, a diagnosis or an arrival time. If they ask for a price, say "your name will talk you through that when he calls back." If they want to send photos, text them this link: link or WhatsApp number. Send me a summary by WhatsApp/text with: name, number, postcode, job, urgency, callback time.
Those are the national 24-hour gas emergency lines, so you don't need a local number. The point is that the AI should never be the one deciding whether something is safe.
Where does AI phone answering fall down?
On anything that needs judgement or knowledge of your business. Callers who want a rough price will be frustrated by "someone will call you back". Older customers may hang up on an automated voice. An angry customer chasing a late job doesn't want to talk to software.
It also adds a step. The AI takes the details, but someone still has to call back, quote and book. If nobody does that the same day, you've moved the missed call one step down the line. A guide to qualifying leads before a site visit helps with the next step.
Do you have to tell callers it's AI or that the call is recorded?
Be open about both. Say at the start that the caller is speaking to an automated assistant, and cover call recordings and transcripts in your privacy notice. The ICO says a privacy notice should explain why you need people's data, how long you'll keep it and who you'll share it with, which includes the answering provider.
If you rely on legitimate interests to record calls, the ICO's three-part test applies: a legitimate purpose, recording is necessary for it, and the caller's interests don't override yours. Get advice from a data protection specialist if you record calls for anything beyond taking the enquiry.
Each missed call is a lead you paid for. Trial a service for a month and count calls answered against jobs won.
It will capture enquiries you're losing now. Make sure the callback happens the same day or the benefit disappears.
An AI that takes details nobody acts on won't win work. Decide who calls back and when before you buy anything.
A good voicemail greeting and a WhatsApp link may be enough. Review it if call volume grows.
Where Nexley fits
Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.
Nexley logs enquiries that arrive by WhatsApp, email and voicemail in one place, drafts a reply with your questions and callback times, and asks you on WhatsApp before anything is sent. You approve the reply, the callback or the quote.
Common questions
How much does AI phone answering cost?
Prices vary widely by provider and number of calls, from flat monthly fees to per-call or per-minute charges. Check the provider's pricing page and compare it with what one missed lead costs you.
Can an AI receptionist book jobs into my diary?
Some can book a callback or a survey slot if they connect to your calendar. Most trades find it safer to let the AI book callbacks only, and keep job bookings for themselves.
Will customers hang up on an AI?
Some will, especially older callers. A short greeting that says who it is and offers a callback today helps. Track how many callers hang up during the first month.
Is AI answering better than a human answering service?
It's cheaper per call and answers at any hour. A human handles awkward or upset callers better. Some firms use AI out of hours and a person or themselves during the day.
