Do you need job management software if you use AI?

You need job management software if several people need a shared schedule, job cards and on-site certificates every day. If you're a small team and your bottleneck is quoting, supplier bills and chasing money, AI can do more for you, and a calendar plus your accounts package may cover the rest. Firms with engineers in the field often run both.

What's the difference between job software and AI?

Job management software stores and organises the work. AI does tasks with it. A job app tells you that Mrs Patel's boiler service is booked for Thursday and holds the CP12 afterwards. An AI assistant drafts the quote from your voice note, reads the merchant's invoice and asks whether to send the reminder.

The line is blurring. Tradify's Plus plan includes AI bill reading and writing help. Fergus lists an AI assistant that prepares quotes and follow-ups and asks for confirmation before sending anything. ServiceM8 includes AI helpers on every plan. Meanwhile AI back-office tools connect to job software and accounts packages. So the question is less "which one" and more "which jobs am I still doing by hand at 9pm?"

Do you need a job app? A quick check

Quick check: Do I need job management software?
Do two or more people need to see and update the same jobs on site each day?
Do engineers fill in certificates, forms or sign-offs on site?
Do you issue certificates (CP12, EICR, F-gas) on most jobs?
Keep a job app

Shared schedules and on-site certificates are what job software does best. Add AI for the quoting, bills and chasing the app leaves to you.

Possibly not

A shared calendar and a group chat may be enough. Trial a month without the app on a few jobs before you cancel.

You may not need one

A calendar, your accounts package and an AI tool for quotes and messages can cover a one or two-person firm. Keep a record of each job's costs somewhere you can find it.

What does each set-up cost?

Compare a year, including your time. Here's a three-person electrical firm, owner plus two apprentices, using prices from vendor pages as of October 2026.

Worked example

Three set-ups for a three-person electrical firm

Owner plus two apprentices, all needing a login on the job app.

Job app only: Tradify Pro£37 × 3 users × 12£1,332
AI back office only: Nexley£799 × 12£9,588
Both£1,332 + £9,588£10,920
Owner's admin time now8 hours a week × 48 weeks × £45£17,280

The difference. These apps hold the jobs; you still do the office work. Nexley does that work for you: quotes, invoices, chasing, supplier bills and tenders, drafted overnight from your own prices and your Xero, waiting for your yes in WhatsApp. It works alongside the app you already have.

Before VAT. The £45 an hour and 8 hours a week are assumptions: put in your own. What matters is how many of those hours each set-up takes away, which only a trial on your own jobs will show.

A job app costs less, but it mostly organises work you still do. An AI back office costs more and takes on work you'd otherwise do yourself. The answer depends on where your hours go. Work out what your admin costs with the admin hours guide.

When is job software the better buy?

When several engineers are on the road and the office needs to see who is where, what's done and what's been signed off. A heating firm with five engineers doing services, breakdowns and landlord certificates gets real value from a job app: the schedule, the service reminders and the CP12 records sit in one place. Compare apps in best job management software for UK trades.

Job software also suits firms whose work is repetitive and priced from a fixed list, where templates do most of the quoting.

When can AI replace it?

When the team is small, the work is quoted rather than repeated, and the pain is the evenings. For example, an electrician with two apprentices who does admin on a Monday morning may find a job app is just another monthly bill that works as a smart diary. Getting supplier invoices into Xero automatically, with price-rise checks, may save him more.

The costly mistake is signing a 12-month contract, paying for training and ending up on the wrong package, when what the firm needed was cost per job and quotes written faster. Supplier bills going into Xero against each job and quotes drafted from voice notes cover both.

Can you run both?

Yes, and firms with field engineers often should. Let the job app hold the schedule and certificates, and let the AI handle quotes, supplier bills, enquiries and chasing. The two need to talk: when a quote is accepted, the job should appear in the app without anyone typing it in.

Check how the connection works before you pay: a direct integration, Zapier, or an API. If neither tool can pass data to the other, you'll end up copying between them, which defeats the point. See integrations to check before buying and is ChatGPT enough, or do you need trade-specific AI?.

Where Nexley fits

Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.

Nexley works alongside your job app or without one. It drafts quotes from voice notes, posts supplier bills against the job, chases invoices, and updates your job software when a quote is accepted. You approve everything over WhatsApp. It's £799 a month, month to month.

Common questions

How is Nexley different from a job management app?

A job app is a better filing system: it holds your jobs, and you still do the quoting, invoicing and chasing. Nexley does that work. Five AI assistants draft your quotes, invoices, supplier orders, replies and tenders overnight from your own prices and your Xero, and you approve each one in WhatsApp. It's the office help you'd otherwise hire, for £799 a month against about £2,358 a month for a full-time admin.

Do I need Tradify if I use ChatGPT?

ChatGPT can draft quotes and messages but doesn't hold your schedule, job history or certificates, and it doesn't post to Xero. If your team needs a shared diary and on-site forms, keep a job app. If you're one or two people, a calendar and accounts package may be enough.

Is AI in job management apps as good as a separate AI tool?

It depends on the task. Built-in AI works on the data inside that app, which is useful for summaries and drafting. A separate tool can work across email, WhatsApp, supplier bills and your accounts. Trial both on the same real job.

Will I lose my data if I cancel my job software?

Not if you export it first. Check the vendor's export options and notice period before cancelling. Keep old certificates and invoices somewhere you can still find them.
