Software contracts for trades: minimum terms, price rises and getting your data out
You can cancel a business software contract only on the terms you signed. Monthly plans like Tradify's and Xero's let you leave at any time, Xero with one month's notice. Annual terms, like Joblogic's, renew automatically unless you give notice before the period ends, at least 30 days in Joblogic's case. Consumer cooling-off rights don't apply to a business buying for its trade, so check the term, notice and data clauses before you sign.
Can you cancel a software contract early?
Usually not without paying for the rest of the term, if you signed for a fixed term. What you can do is give notice so it doesn't renew. On a monthly plan you can normally leave at the end of the month you're in.
The owner of a four-to-five-person renovation builder told us he signed a 12-month contract with a job management software provider, paid £500 for training and found it was the wrong package for the firm. A Hertfordshire builder-developer running six projects at once had a different worry about any new system:
Suddenly they start increasing up in price… I've lost everything I've built.
Both are contract problems you can check before you sign.
What do real software terms say?
Here's what four suppliers' published terms and pricing pages say as of October 2026. Your signed order form can override website terms, so read both.
| Supplier | Term | Notice to leave | Price changes | Your data after you leave |
|---|---|---|---|---|
| Joblogic | Annual billing; most customers 24 or 36 months | At least 30 days before end of period | On 30 days' email notice | You must keep copies; access depends on payment |
| Gas Engineer Software | Per billing period, auto-renews | Before end of period, by email | On notice, no period stated | Yours; deleted or returned on your written request |
| Xero | Monthly, auto-renews | One month | Aims for 60 days' notice of material changes | Archived and no longer available to you |
| Tradify | Month to month | Cancel any time | Not stated on pricing page | Not described on pricing page |
Two things stand out. Joblogic's clause 9A says you pay fees pro rata "for each day of the then current period" if you terminate. Xero's section 62 says that once a subscription ends, your data "is no longer available to you", though it's kept for a time so you can reactivate. Export before you cancel, not after.
How much does a long contract cost you if it's wrong?
The remaining fees on the term. On per-user software that grows fast with headcount and length.
Leaving a five-user annual contract after three months
A firm signs five users at £49 a month each on an annual term, then finds it doesn't fit.
| Monthly fee5 × £49 | £245 |
| Months used | 3 |
| Months still owed on a 12-month term12 − 3 | 9 |
| Fees owed for software you've stopped using9 × £245 | £2,205 |
| Same mistake on a monthly plan at £37 per user5 × £37 × 1 month | £185 |
What should you ask before you sign?
Ask in writing and keep the answers. A supplier who won't answer these plainly is telling you something.
Hi name, Before we go ahead with product and plan for number users, could you confirm the following in writing: 1. What is the minimum term, and does it renew automatically? If so, for how long? 2. How much notice do we need to give to cancel, and how must we give it? 3. If we cancel early, what do we owe? 4. Can you put up the price during the term? How much notice do you give, and can we leave without penalty if you do? 5. Are there setup, onboarding, training or data migration fees? How much? 6. Which features and integrations are on this plan, and which need a higher plan or add-on? 7. Can we export all our data ourselves (customers, jobs, quotes, invoices, certificates, photos) and in what format? 8. How long do you keep our data after we leave, and will you delete it on request? 9. Where is our data stored? 10. Is there a free trial on the full plan, and does it turn into a paid plan automatically? Thanks, your name business name
Don't consumer rights protect you?
Mostly not. The 14-day cooling-off period and consumer contract rights apply to consumers, not to a business buying software for its trade. Business-to-business terms are mainly what you agreed. If the sum is large, ask a solicitor to read the agreement before you sign.
How do you protect your data?
Treat your customer list, job history and certificates as yours, and keep a copy outside the software. Several suppliers' terms say the same: Joblogic's clause 6C says you "must maintain copies of all Data inputted", and Gas Engineer Software's clause 6.3 says the same.
If your software has no open API, years of job history can keep you on a system you've outgrown. Ask the export question before year one, not year seven. Before you buy, also check the integrations the tool has.
Where Nexley fits
Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.
Nexley is £799 a month on a rolling monthly plan with no contract and a 7-day free trial, and your data is yours to take with you. It works over WhatsApp alongside your existing software, drafting quotes, filing supplier bills and chasing payments, with you approving each step.
Common questions
How is Nexley different from a job management app?
A job app is a better filing system: it holds your jobs, and you still do the quoting, invoicing and chasing. Nexley does that work. Five AI assistants draft your quotes, invoices, supplier orders, replies and tenders overnight from your own prices and your Xero, and you approve each one in WhatsApp. It's the office help you'd otherwise hire, for £799 a month against about £2,358 a month for a full-time admin.
Can I get out of a 12-month software contract?
Only if the contract allows it or the supplier agrees. Most let you give notice so it doesn't renew, but you pay for the period you're in. Ask the supplier for a release in writing, and take legal advice if the sum is large.
Does a 14-day cooling-off period apply to business software?
Generally no. Cooling-off rights are for consumers. A sole trader or limited company buying software for the business is usually treated as a business customer.
Can a software company put the price up mid-contract?
If the terms allow it. Joblogic's terms allow fee changes on 30 days' email notice, and Xero's say it aims to give 60 days' notice of material changes. Check whether you can leave without penalty when they do.
What happens to my data when I cancel?
It depends on the supplier. Xero archives it and it's no longer available to you unless you reactivate. Export everything before your last paid day.
