Gas Engineer Software: what it does and what to pair it with
Gas Engineer Software (GES) is UK job and certificate software for heating and plumbing firms. It covers gas safety records, warning notices, service records, scheduling, quotes and invoices, priced from £18 to £30 per user a month as of October 2026, on rolling monthly plans. It doesn't do your bookkeeping, tenders or supplier bills, so most firms pair it with Xero, QuickBooks or Sage.
What does Gas Engineer Software do?
It puts a heating firm's paperwork on the engineer's phone: certificates, job sheets, quotes and invoices, signed on site and emailed to the customer. It's aimed at owner-led businesses rather than large multi-trade contractors.
From GES's own pages, as of October 2026:
- Domestic gas: homeowner and landlord gas safety certificates, gas warning notice, service record, breakdown record, installation and commissioning checklist.
- Non-domestic gas: ND gas safety record, leisure industry, LPG, testing and purging, catering.
- Oil, heat pumps and other: CD/10, CD/11, CD/12, CD/14, TI/133D, air source heat pump service record, unvented hot water cylinder, legionella risk assessment, minor electrical works record.
- On site: works offline and syncs later; customer signs on the phone; Kane, Anton and TPI flue gas analysers connect over Bluetooth.
- Office: scheduling, quotes, invoices, payment reminders and boiler service reminders.
For what a landlord record must include, see our guide to the CP12 gas safety record.
What does it cost?
GES publishes three per-user plans with a 14-day free trial, without a card, and no contract.
| Plan | Per user a month | Adds |

| Core | £23 (FAQ) or £25 (calculator) | Scheduling, quoting, invoicing, reminders |
| Pro | £30 | Xero, QuickBooks and Sage integration |
The pricing page gives two figures for Core, so confirm it with GES before you budget. Prices exclude VAT.

Where does it stop?
GES runs the job and the certificate. It isn't an accounts package, a tender tool or a marketing system, and its own MTD page says it syncs into "the MTD-compatible bookkeeping platform" rather than filing to HMRC itself.
| Gap | What firms pair it with |
|---|---|
| VAT returns, MTD, payroll | Xero, QuickBooks or Sage |
| Supplier bills and receipts against jobs | Dext, or an assistant that posts bills to the accounts |
| Card and bank payments | Crezco is built in at a fixed £1 per invoice |
| Tender pricing and take-offs | A QS, estimating software or an AI back office |
| RAMS and health and safety documents | A template set or a consultant |
| Enquiries from WhatsApp, Facebook and the website | Your phone, or a CRM |
A Northern Ireland heating and gas engineer we spoke to, with six staff, about 700 gas customers and growing heat pump work, raised exactly this. He said GES has no open API and he was afraid of losing six to seven years of data if he moved. He also copied and pasted between ChatGPT and his other tools.
I don't want to be bogged down by admin.
What are the alternatives?
If GES doesn't fit, the choice depends on your size and work mix.
- Commusoft: a fuller platform for established heating and plumbing firms; prices on request. See Commusoft alternatives.
- Tradify: a general trade tool at £34 to £44 per user, with compliance certificates on Pro.
- Joblogic: for commercial maintenance, SLAs and F-gas, from £49 per user billed annually.
- ServiceM8: priced by jobs a month with unlimited users, from £25.

How do you pair it with an assistant?
Keep GES for certificates and the diary, and hand the office work around it to someone, or something, else. Here's how that looks with Nexley.

Where Nexley fits
Nexley is the AI back office for UK trade firms: five AI assistants run your tenders, quotes, buying, scheduling and invoicing. It connects to the tools you already work in, you run it all from WhatsApp, and you approve everything. £799 a month.
Nexley works alongside Gas Engineer Software. Over WhatsApp it drafts quotes from voice notes and your price list, files merchant bills against the job, chases unpaid invoices and drafts RAMS. You approve each item before it goes. GES keeps issuing your certificates.
Common questions
How is Nexley different from a job management app?
A job app is a better filing system: it holds your jobs, and you still do the quoting, invoicing and chasing. Nexley does that work. Five AI assistants draft your quotes, invoices, supplier orders, replies and tenders overnight from your own prices and your Xero, and you approve each one in WhatsApp. It's the office help you'd otherwise hire, for £799 a month against about £2,358 a month for a full-time admin.
How much is Gas Engineer Software?
As of October 2026, Starter is £18 per user a month on annual billing or £19 monthly, Core is £23 to £25, and Pro is £30, all before VAT. There's a 14-day free trial with no card.
Does Gas Engineer Software work with Xero?
Yes, on the Pro plan. Its Xero App Store listing shows invoices and customers syncing both ways, and payments, items and tax rates shared to Xero. It also connects to QuickBooks and Sage.
Does Gas Engineer Software have a contract?
GES says plans are month to month with no setup fees, and you keep access until the end of the period you've paid for. Its terms say no refund is given for a prepaid period.
Can I get my data out of Gas Engineer Software?
GES says you can export your data from the web portal, and it will export certificates, records, quotes and invoices on request. Do a test export during your trial.
